Refund, Cancellation & Fee Policy

Thank you for choosing HQPROPAINTERS LIMITED. We pride ourselves on delivering a professional, reliable, and high-quality service. The following terms are designed to ensure clarity, fairness, and mutual respect between all parties.
1. Free Proposals & Site Visit Fees
1.1 Initial Proposal
The first quotation/proposal is provided free of charge, whether issued in writing or discussed via phone/email.
1.2 Site Visit Fee
In-person site visits are subject to a non-refundable £100 fee, deductible from the final invoice if the project proceeds. This covers time, expertise, and travel.
1.3 Additional Proposals
Any further revisions or alternative proposals beyond the initial quote will be charged at £50 per revision.
2. Deposits
2.1 Booking Deposit
A 15–20% non-refundable deposit is required to secure your booking and cover initial preparation and material costs.
2.2 Non-Refundable Terms
This deposit is non-refundable under all circumstances, including cancellation or change of mind.
3. Cancellation Policy

3.2 Cancellation After Work Has Started
Clients are liable for all labour and materials up to the cancellation date, with a minimum charge of 50% of the total project value.
3.3 Company Rights
HQPROPAINTERS LIMITED reserves the right to cancel or reschedule due to unforeseen circumstances (see Section 8).
4. Rescheduling
Minimum 10 days’ notice is required. If rescheduling is not possible, cancellation terms apply.
5. Stage Payments (Weekly Billing)
5.1 Weekly Structure
Projects exceeding 5 days are billed weekly.
5.2 Payment Terms
Invoices are due within 24 hours.
5.3 Suspension
Work will be immediately suspended if payment is not received.
5.4 Charges During Delays
A minimum £300 daily charge applies where delays are caused by the client.
5.5 Legal Enforcement
Late payments are enforceable under the
Late Payment of Commercial Debts (Interest) Act 1998.
6. Client Responsibilities (Access, Facilities & Conditions)
6.1 Site Access
The client must provide safe, uninterrupted access to the property during agreed working hours.

This requirement aligns with general health and safety obligations under the
Health and Safety at Work etc. Act 1974,
which requires safe and reasonable working conditions for contractors.
7. Incomplete Projects
Any refund (if applicable) will be calculated based on completed work, minus the non-refundable deposit.
8. Force Majeure
We are not liable for delays due to events beyond our control (weather, illness, supply issues, etc.).
9. Unsatisfactory Work
Clients must notify us within 24 hours of completion if there are concerns.
We reserve the right to inspect and rectify any issues before refunds are considered.
10. Late Payments & Debt Recovery
In accordance with the
Late Payment of Commercial Debts (Interest) Act 1998:

11. Consumer Rights
